Who may use Reserves services?

Auraria Library Reserves Services is available to all faculty, staff and students of the Auraria Campus and includes the Community College of Denver , Metropolitan State College and the University of Colorado at Denver However, only the instructor or a designated representative may put materials on Reserve.

Who can place items on Reserve?

Instructors or their representatives may submit reserve requests.

How do I request that my items be placed on Reserve?

All requests must be submitted using the Auraria Library Reserve List Request form.The request may be submitted by the instructor or a representative; however, the request MUST be signed by the instructor.  This is for confirmation that the instructor has read the paragraph regarding copyright and accepts responsibility for compliance.

Where do I get a Reserve List Request form?

One can be picked up at the service desk.There are also two versions of the form available on our web site; one in Microsoft Word and one using Adobe Acrobat which can be filled out online, then printed and signed by the instructor.

What can be placed on Reserve?

Books owned by the Auraria Library and journal articles.Instructors can also place their own copies of items, such as lecture notes, solutions to homework, sample exams, private copies of books and journal articles, conference proceedings, etc.

When should I submit my reserve request?

Although you may submit a request for Reserves at anytime, the sooner the Reserves staff receives your request the better!Due to the increased demand for electronic reserves and the growing demand for all reserves, we now strongly recommend that requests be sent according to the following schedule for which they are needed, especially if the material will be needed during the first month of class.

How long does it take to process my reserve request?

During the peak request time (mid-August through early October for Fall Semester and mid January through early March for Spring Semester) it can take two to three weeks for reserve requests to be fully processed.

During other parts of the term, it takes about three working days to fully process a list.Many items are available sooner.

Less time is required if the list is short.It will take longer if requested items are currently checked out of the library or not owned by the library. In general, we process requests in the order in which we receive them.If all items for a course are not received at the same time, they may not go up on reserve at the same time.

How can I help expedite my reserve request?

You can expedite your request by providing accurate and complete citations for the items needed and clear information about the course. It is important to include current contact information for the instructor.You can reduce the time it takes to process your reserve requests by printing out our online reserve request form and correctly filling the form out prior to bringing the library owned materials and/or journal articles to the Reserves Desk for processing.

Will you follow up with me about my reserve list?

We will contact you if we are having trouble with your items.You may check our course reserves web site for your course or by your name to see what has already been put on reserves.

Can materials be made available electronically?

Auraria Library Reserves will put up electronic reserves for book chapters (limited to 10% of an individual title), journal articles (one article per journal volume), and, at your request your lecture notes, homework solutions, sample exams, etc. Students can access these materials through our web site.

What if the Library does not own an item I request?

The needed item may be ordered through our Collection Development department faculty liaisons, if it is available for purchase and there is adequate funding in the budget. They will initiate rush orders when possible.If the item requested is no longer in print, the faculty liaison will contact the instructor to determine the next course of action.

How many hard copy items may I request for a course?

There is no limit to the number of hard copy items which may be placed on reserve for a course.

How many items may be placed on electronic reserves?

Per our current policy, we do have a limit of 15 for the number of items that should be placed on electronic reserves per course per semester.If more than this number is requested, we will process the first 15 items and will continue to process the rest in increments of 15 over the rest of the semester. So, it is best to prioritize your items according to your syllabus in date order and organize your request as such.

When may I stop by the Reserves Office to bring things or talk with staff?

Our Reserve Desk is opened the entire time that the Library is open, however, we do use students to staff the desk and they do not process materials for reserves. So it would be best to contact us during regular office hours, Monday through Friday, 9:00 a.m. – 5:00 p.m. if you wish to speak to a staff member or call us at 303-352-3847 to make special arrangements.

How many copies of an item are placed on reserve?

The number of copies for each hard copy item placed on Reserves should be based on the class enrollment and the actual number of students in the class (an estimate of one copy per 25 students is common) and whether the requested item is a textbook, required or optional reading. With electronic reserves, we place one copy on our web site, but multiple students can access it at the same time.

Will you place textbooks on reserves?

Yes, usually one for every 25 students is suggested. As, we do not normally purchase textbooks for the Library collection, the instructor is responsible for providing the textbook that will be placed on reserves.

What is the loan period for a reserve item?

The normal loan period is 2 hours for class materials and/or books. Items on 2 hour loan period may not be taken from the building. Books may also circulate for 1 day or 3 days per the request of the instructor. Since all articles are scanned for electronic reserves, there is no loan period. All articles are accessible via the course reserve web page 24/7.

How long do items stay on Reserve?

Reserve items are available for the entire length of the semester.Reserve items can be taken off reserve prior to the end of the semester at the instructor’s request and if the item is not on reserve for another course.

What about copyright?

The Reserve Services staff will evaluate copyright issues for items requested for reserve use. All copyright laws and guidelines are strictly enforced. Reserves staff do not make photocopies for students or instructors.No material will be placed on permanent reserve. To do so is a violation of copyright law.Ultimately, it is the responsibility of the instructor to be in compliance with copyright laws.

Will my students know how to use reserves?

Most students are familiar with the Reserves course pages. If they are not, they can ask for assistance at the service desk. The can also click on the "help" button to get additional information.

Who may use video services?

Our video collection is a restricted collection. It is, however, available for all Faculty, Staff and Students on the Auraria Campus.

Can faculty send students over to watch a video?

Certainly. We have video carrels that will accommodate individual students needing to view both VHS and DVD media. We can also accommodate small groups (2-6) by setting the VHS or DVD in the conference room located on the first floor of the Library, southeast corner. However, if you have a large class that needs to see the video by the same deadline, we recommend that you book the video/DVD to show it in your classroom. At a minimum, we will need 24 hours advance notice.

Why can't I take this VHS/ DVD home?

Our video collection was developed to support the classroom activity. Therefore, the collection must be available to address the needs of our faculty for use in the classroom. However, we do provide equipment for video viewing of our students in the Reserves/Audio-Video Media Services area.

Can more than one person watch a video (group project)?

We have a video jack adapter that will accommodate up to four people. However, with the limited space in the area, usually only two people can watch a video in one of the carrels. For a small group (2-6), we recommend requesting the conference room for viewing the video.

Our professor said we could check out his personal video to take out of the library. Is this true?

We are sorry, this is incorrect. Our students can not check out any videos to remove from the library. Your professor must check the video out for you. We do have a form that may be filled out authorizing the student to pickup a video for a faculty member. The only exception to this policy is if a student needs a video for a class presentation. There is also a form requesting a video for a class presentation. Once again, the video is checked out in the name of the faculty member. The student must present a current campus ID to check out the video.

I need a specific video to show to my class but he library does not own it? What do I need to do?

If there is enough advance notice before you need the video for viewing by your students in your classroom, you may request that the library purchase by contacting the Bibliographer for your subject area. If there are funds to purchase the video, they will order the video/DVD as quickly as possible. Otherwise, on short notice, the only other option would be to check for the video at the public libraries or video rental businesses.

Do I need to arrange for equipment to show a video/DVD to my class?

Ninety percent of the classrooms on campus are "Smart Classrooms". This means that they already have equipment in the room to show videos/DVDs. If you happen to be in a room without equipment, you need to contact the Auraria Media Center which is under AHEC supervision and is located in the lower east side of the library building. Users of these Media Center services, including equipment reservation and troubleshooting of fixed and portable classroom equipment, should contact the Media Center at 303- 556-3342 for reporting equipment problems and 303- 556-3543 to reserve equipment instead of the Reserves/Audio-Video Media Service desk.

What if I don't know how to use the media equipment?

For any equipment located in the Reserves/Audio-Video Media Services area, just check at the service desk for assistance with the media equipment. For assistance or for instruction in the use of any of the equipment in the classrooms, contact the Auraria Media Center at 303-556-3543.

Are there videos/DVDs on Reserve?

Yes, if we receive a "personal" video from a faculty member, we will process it and include it on the instructor's courser reserve pages. However, due to the merger of the Reserves and Video departments, the video collection is now housed in the Reserves/Audio-Video Media Services area. Therefore, it is no longer necessary to "reserve" any videos that are part of the Library collection.
